1. Simple Definitions
We handle two types of data: yours (the Provider) and your clients' (the Customers). We own the responsibility for your data, but for your clients' data, we just follow your instructions.
Provider
The business or professional using Suitespace.
Customer
The person booking a service from a Provider.
Data Controller
The one who decides why and how data is used. (Suitespace is the Controller for Provider info).
Data Processor
The one who handles data on behalf of a Controller. (Suitespace is the Processor for Customer info).
2. What We Collect & Why
We collect what's necessary to run your business—names, emails, and site usage. We never see or store your credit card numbers; Stripe handles all of that.
From Providers
Name, business email, branding assets, and Stripe account IDs to manage your subscription and payouts.
From Customers (on behalf of Providers)
Names, phone numbers, and booking details. Note: Providers are responsible for getting their Customers' consent for this.
Automatically
IP addresses, browser types, and usage logs to keep the platform secure and fast.
Payments
All payment data is processed by Stripe. Suitespace does not store credit card details.
3. How We Use Your Data
We use your info to manage your account, process payments, and stop hackers. We only send marketing emails if you say "yes."
We process data based on:
Contractual Necessity
To provide the booking tools you pay for.
Legitimate Interest
To improve our software and monitor for fraud.
Legal Obligation
For tax records and security logs.
Consent
For non-essential cookies or marketing.
4. Data Storage & Global Transfers
Our servers are located in the US (AWS). By using Suitespace, you agree that your data will be stored there. We use high-level encryption to keep it safe during the trip.
Suitespace processes data in AWS us-east-1 (N. Virginia, USA). We use Standard Contractual Clauses (SCCs) and industry-standard encryption (AES-256) to ensure that international transfers meet global privacy standards.
5. Data Retention: How Long We Keep It
We don't keep data forever. If you delete your account, booking info stays for 1 year (to help with disputes), and financial records stay for 5 years (for taxes).
Active Accounts
As long as the account is open.
Booking History
12 months after account deletion.
Tax/Financial Records
5 years.
Support Tickets
24 months.
6. Cookies & Tracking
We use "Essential" cookies to keep you logged in. We only use "Analytics" or "Marketing" cookies if you click "Accept" on our banner.
Essential: Required for security and login. Analytics: (e.g., Google Analytics) To see how people use the site. Marketing: (e.g., Meta Pixel) To show relevant ads. You can change your preferences at any time via our Cookie Settings.
7. Your Privacy Rights
You have the right to see, fix, or delete your data. Just email us.
Under GDPR, KVKK, and PIPEDA, you have the right to: Request a copy of your data. Correct any mistakes. Request that we delete your data ("Right to be Forgotten"). Withdraw your consent for marketing. Contact us at privacy@suitespace.app. We respond to all requests within 30–90 days.
8. Third-Party Sharing
We don't sell your data. We only share it with essential partners like Stripe (for money) and AWS (for hosting), or if the law requires it.
We share data with: Stripe: To process your payments. AWS: To host your website. Email Providers: To send your booking notifications. We strictly prohibit these partners from using your data for their own marketing.
9. Security Measures
We use the same level of security as banks. While no site is 100% unhackable, we work 24/7 to protect your info.
We use firewalls, activity logs, and regular vulnerability assessments. All data is encrypted both "at rest" (on the server) and "in transit" (when moving across the web).

Cookies help us provide, protect, and improve the Suitespace platform. They can be First-party (set by us) or Third-party (set by partners like Google or Stripe).

We use four types of cookies. You can't turn off the "Essential" ones because the site wouldn't work without them, but you have full control over the others.
Essential Cookies (Strictly Necessary)
These are required for you to log in, stay secure, and use the dashboard. They do not require consent under GDPR/KVKK.
Analytics Cookies
These help us understand how people use Suitespace (e.g., Google Analytics). We only turn these on if you click "Accept."
Marketing Cookies
These track the effectiveness of our ads (e.g., Meta Pixel). We use these to show you relevant content elsewhere on the web. These require your explicit "Opt-in."
Functional Cookies
These remember your preferences, like your language choice or UI customization.
3. Cookies Across Our Ecosystem
We use different cookies depending on where you are—the marketing site can load analytics and ads; the Account Center handles sign-in and workspaces; the Provider dashboard runs your day-to-day business tools; and each Provider’s public booking site has its own banner for Customers.
Marketing website (suitespace.app)
Our public marketing site (pricing, product info, legal pages, etc.). Uses Essential, Analytics, and Marketing cookies according to your choices on the cookie banner.
Account Center (accounts.suitespace.app)
Where you sign in, complete onboarding, and manage which workspace or suite you are working in. Uses Essential cookies for authentication, security, and session continuity, and may use limited, performance-oriented analytics. We do not load marketing or advertising pixels on Account Center flows.
Provider dashboard (dashboard.suitespace.app)
Where Providers manage their business day to day (scheduling, website builder, settings, etc.). Uses Essential cookies and limited, performance-oriented analytics. Marketing pixels and ad trackers are not used inside the logged-in dashboard.
Provider booking sites (*.mysuitespace.app and custom domains)
Each Provider’s customer-facing website—typically at a subdomain like yourbusiness.mysuitespace.app, or a custom domain they connect—runs as their own site. Suitespace provides tools so Providers can show cookie notices and collect consent from their own Customers; cookie categories there depend on each Provider’s settings.
4. Third-Party Partners
We work with trusted companies like Stripe (for payments), Google (for analytics and ads), Meta (for advertising measurement), and AWS (for hosting). They may set their own cookies so their services work correctly on our platform.
We integrate with: Stripe: To handle secure payments. Google: For products such as Google Analytics, Google Ads, and other Google services where you have given consent. Meta: For advertising and measurement (e.g., Meta Pixel) where you have given consent. AWS: To manage our cloud infrastructure.
5. Managing Your Preferences
You are in control. You can change your mind and adjust your cookie settings at any time using our "Cookie Settings" link at the bottom of the page.
You can also block cookies through your browser settings, though this may cause parts of Suitespace (like logging in) to stop working. We keep a digital record of your consent choices to stay compliant with privacy laws.
